2.Where there is Recovery and Payment Afterwards Ex: TDS/PF Etc.,

SupposeConsiderOutstandingExpensesAccount,ifweseeaccountatthe endoftheyear,therewillbesomanydebitsandcredits.Wedon'tknowwhichitemis paidandwhichispayable.IfweselecttheOpenItemManagementcheckBoxatthe timeofGLMasterCreation,whileatthetimeofmakingpaymentsystemwillaskabout thepaymentisagainstwhichprovision.OnceweselectedpaymentagainstRent Provison,thatitemwillbeclearedfromOpenItemsList.
We can see the Outstanding Expenses in 3 ways.
a)Open Items : Payable Items
b)Cleared Items: Amount paid Items
c)All Items: All items of Payable and Paid items.

An instrument used to monitor costs and, in some instances, the revenues of an organization.

Internal orders can be used for the following purposes:
  • Monitoring the costs of short-term jobs
  • Monitoring the costs and revenues of a specific service
  • Ongoing cost control
Internal orders are divided into the following categories:
  • Overhead orders - For short-term monitoring of the indirect costs arising from jobs. They can also be used for continuous monitoring of subareas of indirect costs. Overhead orders can collect plan and actual costs independently of organizational cost center structures and business processes, enabling continous cost control in the enterprise.
  • Investment orders - Monitor investment costs that can be capitalized and settled to fixed assets.
  • Accrual orders - Monitor period-based accrual between expenses posted in Financial Accounting and accrual costs in Controlling.
  • Orders with revenues - Monitor the costs and revenues arising from activities for partners outside the organization, or from activities not belonging to the core business of the organization.
Leaving content frameOrders Classified by Controlling Objectives You can create internal orders for a time-restricted operational job, or for long term cost monitoring. If required, you can make a statistical posting to internal orders, to monitor costs from a different angle, as an alternative to doing so to a true object. Orders for Time-Restricted Jobs These internal orders are distinguished by their uniqueness and greatly varied durations.
You can create an internal order for each individual job, to collect all costs incurred in performing that job. These internal orders are often planned in several steps, depending on the technical planning progress or on the progress of the work itself.
You can continue to allocate the actual costs collected on these internal orders:
  • Either in the month the costs were incurred, using the actual costs in this month
  • Or after all the work for the order is completed
      • To display the costs as a total not only on the internal order, but also on the receiver.
      • Because the target account assignment had not yet been determined when the order was created
Example
Typical examples of orders for time-restricted jobs are:
  • Investment orders for fixed assets produced in-house
  • Development and construction orders
  • Production orders in Controlling
  • Orders for services to a third party
  • Advertising and trade fair orders.
Internal Orders for Long-Term Cost Monitoring Long-term internal orders are most often used to allocate the costs incurred for recurring deliveries and activities. They allow you to continuously monitor costs in more detail than is possible using a cost center. Additionally, you can break down and analyze serious cost center variances more quickly using these internal orders.
The actual costs collected on long-term internal orders are settled monthly.
Example
Such internal orders often remain valid for several years. Some typical uses include:
  • Minor repairs
  • Maintenance of small equipment, such as wiring, lighting fixtures, and so on.
  • Individual vehicles from the company fleet
  • Operation of "administrative" equipment, such as photocopiers, telephone systems, and so on
Statistical Internal Orders Statistical internal orders are typically used to evaluate costs that cannot be displayed in detail either in Cost Element or Cost Center Accounting. These orders allow evaluations from a viewpoint different to that used in Cost Center Accounting.
To achieve this, the debits for a cost center can receive an additional account assignment on a statistical internal order. The amount then appears under the original cost element, both on the cost center (cost effective) and the internal order (statistical).
You can post to a statistical internal order as a statistical account assignment object, without having to enter a true account assignment object. In this case, you have to state a cost center in the internal order control parameters (under "Control"). The cost-effective account assignment is then made to this cost center. If required, you can change the cost-effective cost center that is to be posted to when you enter the posting.
You can specify a company code and a business area in the internal order. All credits and debits for this internal order can then be made using only account assignment objects that belong to the specified company code or business area. For cross-company code controlling or cross-business area controlling you should not specify a company code or business area.
Unlike real internal orders, you can neither settle statistical orders, nor apply overheads to them.
Example
You create a statistical order for each vehicle in your company fleet.
You post the costs incurred for fuel, repairs, insurance, and so on, to the vehicle fleet cost center, with an additional account assignment on the relevant statistical internal order.
On your cost center, you can see the total costs incurred for all the vehicles. From the individual internal orders, you can see how high the costs are for each vehicle.

PRIMARY COST ELEMENT CATEGORIES:
There are two main types of the primary cost element categories:

1.       Cost related element: The cost element represents the all Fl expenditure GL accounts except the WIP and production variance GL accounts

a.     01 (primary cost element): It is used for all expenditure GL accounts other than
work in progress, production variances and sales expenditure related GL accounts
(which is directly involved in the billing, that means those sales expenses GL
accounts directly involved in billing)

b.     12 (sales deductions): It is used for sales expenditure related GL accounts, that
means those expenditure directly involved in the billing need to create CE with
categoryl2, those sales expenses G/L accounts is linked in the FISD integration
(VKOA settings) The main purpose of the cost element category 12 is only used to
get or update the cost in the profitability analysis module, by using cost element
category 01 we can't transfer from SD to COPA. (The system recognizes the revenue
and associated sales expenditure, i.e. like sales discount, rebate, and sales
commission with respect to the market segment in COPA. Market segment means it
may be a customer, product, customer group, product group, region, SBU or
combination or etc.)

c.     22 (external settlement): especially for transferring internal order cost to the
financial accounting and also internal order/Order to other cost objects. It is used for
transferring the cost from CO to Fl i.e. the cost transferred from the internal order to
the AUC (asset under construction) asset or normal asset or GL accounts. Ex: RD
costs (normally settled to GL account), construction of building (settled to either
AUC or asset). When we want to transfer deferred revenue expenditure (RD
expenditure) which is going to be capitalized as asset and write off for future years

2. Revenue related element: The revenue element represents all Fl income related GL accounts
a.   11 (revenue element): It is used for all income related GL accounts, or sales related GL accounts.

Introduction to Controlling



Controlling Module in SAP provides supporting information to Management for the purpose of planning, reporting, as well as monitoring the operations of their business. Management decision-making can be achieved with the level of information provided by this module. 
Some of the components of the CO (Controlling) Module are as follows: 
·         Cost Element Accounting
·         Cost Center Accounting
·         Internal Orders
·         Activity-Based Costing (ABC)
·         Product Cost Controlling
·         Profitability Analysis
·         Profit Center Accounting
Cost Element Accounting: component provides information which includes the costs and revenue for an organization. These postings are automatically updated from FI (Financial Accounting) to CO (Controlling). The cost elements are the basis for cost accounting and enable the User the ability to display costs for each of the accounts that have been assigned to the cost element. Examples of accounts that can be assigned are Cost Centers, Internal Orders, WBS(work breakdown structures). 
Cost Center Accounting: provides information on the costs incurred by your business. Within SAP, you have the ability to assign Cost Centers to departments and /or Managers responsible for certain areas of the business as well as functional areas within your organization. Cost Centers can be created for such functional areas as Marketing, Purchasing, Human Resources, Finance, Facilities, Information Systems, Administrative Support, Legal, Shipping/Receiving, or even  Quality. 
Some of the benefits of Cost Center Accounting: (1) Managers can set Budget /Cost Center targets; (2) Cost Center visibility of functional departments/areas of your business; (3) Planning; (4) Availability of Cost allocation methods; and (5) Assessments/Distribution of costs to other cost objects. 
Internal Orders: provide a means of tracking costs of a specific job, service, or task. Internal Orders are used as a method to collect those costs and business transactions related to the task. This level of monitoring can be very detailed but allows management the ability to review Internal Order activity for better-decision making purposes.
Activity-Based Costing: allows a better definition of the source of costs to the process driving the cost. Activity-Based Costing enhances Cost Center Accounting in that it allows for a process-oriented and cross-functional view of your cost centers. It can also be used with Product Costing and Profitability Analysis. 
Product Cost Controlling: allows management the ability to analyze their product costs and to make decisions on the optimal price(s) to market their products. It is within this module of CO (Controlling) that planned, actual and target values are analyzed. Sub-components of the module are: 
·      Product Cost Planning which includes Material Costing( Cost estimates with Quantity structure, Cost estimates without quantity structure, Master data for Mixed Cost Estimates, Production lot Cost Estimates) , Price Updates, and Reference and Simulation Costing. 
·      Cost Object Controlling includes Product Cost by Period, Product Cost by Order, Product Costs by Sales Orders, Intangible Goods and Services, and CRM Service Processes. 
·      Actual Costing/Material Ledger includes Periodic Material valuation, Actual Costing, and Price Changes. 
Profitability Analysis: allows Management the ability to review information with respect to the company’s profit or contribution margin by business segment.  Profitability Analysis can be obtained by the following methods: 
·      Account-Based Analysis which uses an account-based valuation approach. In this analysis, cost and revenue element accounts are used. These accounts can be reconciled with FI(Financial Accounting).
·      Cost-Based Analysis uses a costing based valuation approach as defined by the User. 
Profit Center Accounting: provides visibility of an organization’s profit and losses by profit center. The methods which can be utilized for EC-PCA (Profit Center Accounting) are period accounting or by  the cost-of-sales approach. Profit Centers can be set-up to identify product lines, divisions, geographical regions, offices, production sites or by functions. Profit Centers are used for Internal Control purposes enabling management  the ability to review areas of responsibility within their organization. The difference between a Cost Center and a Profit Center is that the Cost Center represents individual costs incurred during a given period and Profit Centers contain the balances of costs and revenues.
Controlling (CO) and Financial Accounting (FI) are independent components in the SAP system. The data flow between the two components takes place on a regular basis.
The data relevant to cost, flows automatically to Controlling from Financial Accounting. At the same time, the system assigns the costs and revenues to different CO account assignment objects, such as cost centers, business processes, projects or orders. The relevant accounts in Financial Accounting are managed in Controlling as cost elements or revenue elements. This enables you to compare and reconcile the values from Controlling and Financial Accounting.
